Remote Access Solutions for Australian Small Business: Secure Ways to Access Your Business Systems

Running a small business in Australia often means needing to access your office systems from home, a client site, or while travelling. But opening ports on your router and hoping your ISP keeps your IP stable is risky and complicated. Here are the modern approaches that give you secure access without the headaches.

Why Australian Businesses Need Remote Access

  • Work from home flexibility — access office computers, files, and systems from anywhere
  • Multi-site operations — connect to POS systems, inventory databases, or security cameras across locations
  • After-hours management — check on business systems without being physically present
  • IT support — allow your IT provider (like JRB) to maintain systems remotely
  • Business continuity — keep operating during disruptions

The Four Main Approaches

  • Cloudflare Tunnels — secure tunnel through Cloudflare global network
  • Tailscale — mesh VPN built on WireGuard, exceptionally easy
  • Traditional VPN — OpenVPN or WireGuard on your own server
  • Nginx Proxy Manager — reverse proxy with SSL for web services

Cloudflare Tunnels

Cloudflare creates an outbound-only connection from your business network to their global infrastructure. No incoming ports opened, no public IP address required.

Business Use Cases

  • Access internal web applications (intranets, CRM, booking systems)
  • Secure access to POS management dashboards
  • Remote camera monitoring via web interface
  • Allow staff to access office tools from home

Pros for Australian Businesses

  • No port forwarding — works behind NBN, business-grade connections, even 4G
  • Works with CGNAT — common on some NBN and 4G/5G connections
  • Automatic SSL — no certificate management
  • DDoS protection — Cloudflare absorbs attacks
  • Access policies — restrict by email address, IP range, or country (Australia only?)
  • Sydney edge servers — good performance for Australian users

Considerations

  • Requires a domain name (around $15-20/year for .com.au)
  • Traffic routes through Cloudflare (data sovereignty considerations for sensitive industries)
  • Free tier suitable for most small businesses; paid plans add advanced features

JRB Pro Tip

Use Cloudflare Access policies to restrict login to your business email domain only. This means only people with @yourbusiness.com.au addresses can reach your internal systems — no accidental public exposure.

Tailscale

Tailscale is a mesh VPN that creates a private network between all your devices. Its probably the easiest option for small businesses — install the app on each device and they can all communicate securely.

Business Use Cases

  • Remote desktop access to office computers
  • Access network-attached storage (NAS) files from anywhere
  • Connect to POS backend systems
  • Let IT support access servers for maintenance
  • Connect multiple business locations as one network

Pros for Australian Businesses

  • Extremely simple setup — typically 5 minutes per device
  • Works everywhere — behind NBN, 4G, hotel WiFi, client networks
  • No central server — devices connect directly to each other (peer-to-peer)
  • Free for 100 devices — more than enough for most SMEs
  • Works with existing networks — no reconfiguration needed

Considerations

  • Control server hosted overseas (though data typically stays peer-to-peer within Australia)
  • All devices need the Tailscale app installed
  • Web interface access requires Tailscale Funnel (still in beta)

JRB Pro Tip

Set up Tailscale on your NAS and office computers, then disable Windows Remote Desktops public port if you had one open. You get the same remote access capability but without exposing RDP to the internet — a common attack vector.

Traditional VPN (OpenVPN/WireGuard)

Setting up your own VPN server gives you complete control. All data stays on your infrastructure, and youre not dependent on any third-party service.

Business Use Cases

  • Organisations with strict data sovereignty requirements
  • Businesses that already have a server or NAS capable of running VPN
  • Multiple staff needing network-level access to office resources

Pros for Australian Businesses

  • Complete control — all data stays on your network
  • 100% Australian — no data leaves your premises
  • No third-party dependency — you own the whole solution
  • No ongoing costs — open source solutions available

Considerations

  • Requires a static public IP or dynamic DNS setup
  • Port forwarding required on your router
  • More technical setup and ongoing maintenance
  • Certificate management for security
  • Doesnt work with CGNAT connections

Australian Context

Some NBN connections use CGNAT (Carrier Grade NAT), which blocks incoming connections. If your business has CGNAT, traditional VPN wont work — check with your ISP or use Tailscale/Cloudflare instead.

Nginx Proxy Manager

If you already have a server and want to expose multiple web services securely, Nginx Proxy Manager provides a graphical interface for managing SSL certificates and reverse proxy rules.

Business Use Cases

  • Hosting multiple internal web applications under one domain
  • Exposing specific services (POS admin, inventory system) via subdomains
  • Businesses with technical staff who can maintain a self-hosted solution

Pros

  • Full control — self-hosted, no external dependencies
  • Automatic Lets Encrypt SSL — with simple web interface
  • Web-based management — no command line required
  • 100% local — all data stays on your infrastructure

Which Should Your Business Choose?

For Simple Remote File and Desktop Access

Choose Tailscale. Install on each device, and everything can connect. Minimal setup, works everywhere, free for small teams.

For Web Application Access (POS, CRM, Intranets)

Choose Cloudflare Tunnels. Zero port forwarding, automatic security, access via browser with login policies. Works particularly well if your staff use various devices.

For Maximum Control and Data Sovereignty

Choose Traditional VPN. All data stays on your network. Requires static IP and more technical setup, but gives you complete ownership.

For Multiple Web Services with Local Control

Choose Nginx Proxy Manager. Good for businesses with existing server infrastructure and technical capability.

Security Best Practices for Remote Access

  • Use strong authentication — multi-factor authentication for any remote access
  • Limit access by user — not every staff member needs access to every system
  • Monitor access logs — know whos connecting and when
  • Keep software updated — security patches are critical for exposed systems
  • Use unique passwords — no shared credentials for remote access
  • Consider Australian compliance — some industries have specific data handling requirements
